How we collect, use, and protect your information

Last Updated: May 2025  |  Effective Date: May 2025  |  Jurisdiction: India

Kensho HR Solutions ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website kenshohrsolutions.com or use our services, including the HR Health Audit tool.

Please read this policy carefully. By accessing or using our website, you consent to the practices described below.

1. Information We Collect

We collect information you provide directly to us, as well as information gathered automatically when you use our website.

Information you provide:

  • Contact form submissions — name, company name, email address, phone number, and any message you send us.
  • HR Health Audit — name, company name, team size, phone number, email address, annual revenue range, and your responses to the audit questionnaire.
  • WhatsApp / direct communication — messages you send us via WhatsApp or other channels.

Information collected automatically:

  • Browser type, operating system, referring URLs, and pages visited (via server logs or analytics tools).
  • IP address and approximate geographic location.
  • Device information and screen resolution.

2. How We Use Your Information

We use the information we collect to:

  • Respond to your inquiries and provide the services you have requested.
  • Deliver your HR Health Audit results and any follow-up reports (including the paid HR Roadmap Report if purchased).
  • Contact you about services, resources, or updates relevant to your business — including introductory calls, consultations, or proposals.
  • Understand how visitors use our website in order to improve our content and offerings.
  • Comply with applicable legal obligations.
  • Protect the integrity and security of our website.

We do not sell, rent, or trade your personal information to third parties for their marketing purposes.

3. Legal Basis for Processing (India)

Under applicable Indian law, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 (DPDPA), we process your personal data on the following bases:

  • Consent — where you have voluntarily submitted information via our forms or audit tool.
  • Legitimate interests — where we have a genuine business interest in communicating with prospective and existing clients.
  • Contractual necessity — where processing is required to deliver a service you have engaged us for.
  • Legal compliance — where we are required to retain or share information under applicable law.

4. HR Health Audit Data

The HR Health Audit is a diagnostic tool designed to help business owners understand the maturity of their HR function. When you complete the audit:

  • Your responses are used to calculate a score and generate your results on-screen.
  • Your lead information (name, company, phone, email, revenue range, team size) is submitted to Kensho HR Solutions for the purpose of follow-up consultation.
  • All audit data is treated as strictly confidential. We do not share individual company audit results with any other business or third party.
  • Aggregate, anonymised data may be used to generate industry benchmarks or blog content — no individual company is identifiable in this data.

5. Sharing of Information

We may share your information in the following limited circumstances:

  • Service providers — third-party vendors who assist us in operating our website or delivering services (e.g., email providers, hosting services). These parties are contractually bound to use your data only as necessary to provide those services.
  • Legal requirements — if required by law, court order, or government authority, we may disclose information to comply with legal obligations.
  • Business transfers — in the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

We do not share your data with HR technology vendors, job boards, recruitment platforms, or any competing service providers.

6. Data Retention

We retain your personal information for as long as necessary to:

  • Fulfil the purpose for which it was collected.
  • Maintain records required under Indian law (including GST, income tax, or labour law requirements where applicable).
  • Resolve disputes or enforce our agreements.

Contact form submissions and audit data are typically retained for up to 3 years from the date of collection, unless you request deletion sooner.

7. Cookies and Tracking

Our website may use cookies and similar tracking technologies to enhance your experience. Cookies are small data files stored on your browser.

We may use:

  • Essential cookies — necessary for the website to function.
  • Analytics cookies — to understand how visitors use the site (e.g., Google Analytics, if implemented).

You can control cookie preferences through your browser settings. Disabling cookies may affect some features of the website.

8. Your Rights

Under the Digital Personal Data Protection Act, 2023 and applicable Indian data protection law, you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Correction — request correction of inaccurate or incomplete data.
  • Erasure — request deletion of your personal data, subject to legal retention requirements.
  • Withdrawal of consent — withdraw consent you have previously given, without affecting the lawfulness of prior processing.
  • Grievance redressal — lodge a complaint with us or the Data Protection Board of India if you believe your data has been misused.

To exercise any of these rights, please contact us at the details below. We will respond within 30 days.

9. Data Security

We implement reasonable administrative, technical, and physical security measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction.

However, no method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security. You transmit information to us at your own risk.

10. Third-Party Links

Our website may contain links to third-party websites (including LinkedIn, WhatsApp, and blog platforms). We are not responsible for the privacy practices of those sites. We encourage you to review the privacy policies of any third-party sites you visit.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be indicated by the "Last Updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of our website after any changes constitutes your acceptance of the updated policy.

13. Governing Law
